What is a hotel PMS (Property Management System)

A hotel PMS (Property Management System) is the core software for any hotel or guesthouse: it centralises bookings, rooms, check-in/check-out, housekeeping, invoicing and occupancy reports. Without a PMS, the front desk runs on spreadsheets and notes — losing bookings, making rate errors and never knowing in real time how many rooms are available.

Short answer (definition)

  1. A hotel PMS centralises bookings, rooms and the front desk in one platform.
  2. It manages check-in/check-out, room allocation, housekeeping and invoicing.
  3. It tracks sales channels (Booking.com, Expedia, direct); automatic sync with OTAs requires a channel manager connected via API.
  4. It provides occupancy, ADR and RevPAR reports for any chosen period.

What modules a full PMS includes

  • Front desk: booking calendar, room allocation, check-in/check-out, guest profile and guest register.
  • Housekeeping: cleaning tasks created after checkout, up-to-date status for every room.
  • Guest folio: charges, recorded payments and closing the folio at checkout; tax invoicing.
  • Sales channels: the source of each booking and the commission per channel; OTA sync is done through a channel manager.
  • Reports: occupancy, ADR, RevPAR, revenue by booking source and by room type.

How 4Hotel helps

4Hotel is a PMS for hotels and guesthouses: a booking and availability calendar by room type, front desk with check-in/check-out and the guest register, guest folio, housekeeping, a restaurant whose orders post to the folio, and occupancy, ADR and RevPAR reports. Sales channels (Booking.com, Airbnb, Expedia, direct) are tracked with each channel's commission; automatic OTA connectivity is not available yet. Electronic invoicing is handled in 4invoices.net, the invoicing product of the 4b2b ecosystem.
