4b2b ecosystem

Channels, guest folios and the 4b2b ecosystem for your inn or small hotel

4Hotel keeps your sales-channel register, the guest folio with payments and the optional links to 4b2b ecosystem products in one place, built for inns, B&Bs and small hotels. There is no live sync with OTAs: channels are entered by hand or by import.

4b2b ecosystem — optional products

4b2b ecosystem products are optional and off by default. If the link to 4invoices.net is active and configured, closing the guest folio can create an invoice draft in 4invoices for you to review. You issue the invoice yourself after reviewing it: nothing is issued or sent automatically. CRM in 4softcrm.net and SMS/WhatsApp in 4notify.net are also switched on separately, in the same 4b2b account.

Sales channels — Booking.com, Airbnb, Expedia and direct

You record each channel with its commission as a percentage, by hand or by import. Reservations that arrive through an OTA are entered in 4Hotel under that channel. There is no automatic sync with Booking.com, Airbnb or Expedia.

Guest folio — charges and payments

The guest folio carries the room charges and, on the Pro plan, restaurant orders as well. You record payments (cash, card, bank transfer) by hand — 4Hotel does not process payments — and the folio closes at check-out.

One room-status board for front desk and housekeeping, and a guest folio for every room

4Hotel shows the status of every room — clean, to clean, occupied — on one board, so the front desk and housekeeping work from the same information. Made for small and mid-sized hotels, inns and B&Bs. At check-out, the room is marked to clean, a housekeeping task is created and the guest folio closes. Each room has its own folio: the stay, the restaurant charges recorded in the system, and the payments logged against it.

Built for every kind of lodging

From boutique hotels and small inns to B&Bs, vacation rentals, resorts and business hotels — bookings, front desk, housekeeping (Plus plan and up), restaurant (Pro plan and up) and reports run in one system.

Boutique hotels

The front desk works from one screen: bookings by room type, check-in, check-out and the guest profile (ID document, nationality and the company to bill). Every booking keeps the source or channel it came from.

Reports by source and room type show where bookings and revenue come from, and the channel report shows the commission paid to each sales channel.

Hotel groups

Several properties share one account (Premium plan only), and each hotel keeps its own room types, rate plans and pricing rules. Occupancy, ADR and RevPAR appear in reports for the period you choose.

Pricing rules (Pro plan and up) raise or lower the rate by a percentage or a fixed amount, based on occupancy, days until arrival, day of the week or season. You define the rules; there is no pricing algorithm behind them.

Inns & B&Bs

Set up rooms, room types and rate plans with a meal plan, minimum stay and cancellation policy. A guest record is kept for every stay.

Bookings from Booking.com or Airbnb are entered in 4Hotel under their channel, since an automatic (API) connection to the OTAs is not available yet. Billing through 4invoices.net, the ecosystem's invoicing product, is optional and off by default: when it is switched on, closing a guest bill can create a draft invoice that you review and issue yourself.

Vacation rentals & condos

The availability calendar works per room type and checks stock on every new booking, so a reservation entered in the system cannot oversell a room type. Units in different properties are managed in one account (Premium plan only).

Reports show occupancy, room-nights sold and revenue for each period, and seasonal or weekday pricing rules (Pro plan and up) help you adjust rates.

Resorts & spas

Rate plans cover room only, breakfast, half board, full board and all inclusive. Restaurant orders (Pro plan and up) post to the guest bill alongside other charges and payments, and the bill is closed at check-out.

At check-out the room moves to 'to clean' and a housekeeping task is created (Plus plan and up). A status board shows housekeeping whether each room is clean, to clean or occupied, and the front desk sees the same status for every room.

Business hotels

The guest profile stores the company to bill, and the guest bill records charges and payments (cash, card, bank transfer) entered by hand. Billing through 4invoices.net is optional and off by default: when it is switched on, closing the guest bill can create a draft invoice that you review and issue yourself. Nothing is issued or sent automatically.

Today's arrivals and departures, in-house guests and revenue by source and room type appear in reports for the period you choose.

Frequently asked questions

Quick answers to the questions motel, inn and B&B owners ask most about 4Hotel.

What hotel management software works for a motel, inn or B&B?

4Hotel handles reservations, rooms, the front desk and guest folios for motels, inns, B&Bs, boutique hotels and lodges. The Start plan covers up to 20 rooms, Plus up to 60 and Pro up to 200. Housekeeping comes with Plus, the restaurant module and pricing rules with Pro, and several properties in one account with Premium. Choose a plan by room count and the features you need.

What do I set up before I take my first reservation?

Create your account and add your property. Then add your room types and rooms, followed by rate plans with the meal plan, the minimum length of stay and a cancellation policy. After that you can enter reservations on the calendar and handle check-in and check-out. It runs in your browser, so there is nothing to install.

Does 4Hotel sync automatically with Booking.com, Expedia or Airbnb?

No. There is no automatic connection (API or iCal) with those sites. In 4Hotel you keep a register of your sales channels, such as Booking.com, Airbnb, Expedia and direct bookings, with the commission for each one, and you run a report by channel. The channel register is included from the Plus plan. You update availability in each extranet yourself and enter the reservations that come in there into 4Hotel.

Can restaurant and bar charges go on a guest's folio?

Yes, with the Pro plan. The restaurant module manages your menu and orders and posts them to the guest folio, which is settled at check-out. The folio shows the charges and payments you record. 4Hotel is not a point-of-sale terminal and does not process card or online payments, so you keep taking payment the way you do today.

What happens to housekeeping when a guest checks out?

Check-out closes the guest folio. With the Plus plan it also opens a housekeeping task for the room, so your staff can see which rooms need cleaning.

Does it suit vacation rentals, cabins or several properties?

Yes. You work with room types and rooms, so cabins, cottages, vacation rentals and boutique hotels all fit. If you run more than one property, the Premium plan manages them in a single account.
